Industrial or Desktop Barcode Printer: Find Your Best Match

Once you have determined the style of barcode printer that best fits your company, application and environment, the next step is to choose direct or thermal transfer printing.  Direct thermal or thermal transfer printing are compatible with industrial or desktop printers.

Direct Thermal Barcode Printing

A direct thermal barcode printer works by using the printhead to heat chemically treated paper or synthetic labels.  The labels react by producing a black image. These types of barcode printers are easy to operate and efficient to use as they require no ribbon, ink or toner refills.

The imaging is crisp and clean, producing a barcode image that is easy to scan.  A direct thermal barcode printer is reliable in applications where the barcode images require only a short shelf life. A disadvantage is that the chemically treated label material can be affected by other heat sources.

Thermal Transfer Printing

The second type of barcode printer is the thermal transfer printer.  This printer also uses a printhead and heat to “transfer” an image on the label.  However, the “transfer” occurs in a fashion that differs from direct thermal barcode printers.  Thermal transfer printers use an ink-coated ribbon that transfers the image onto the label (media).  This type of imaging will last longer than those from direct thermal printing.  It is critical to ensure the ribbon is compatible with the printing surface.  Without compatibility, the thermal ink will not adhere.

 Inventory Check 

While, it may seem unnecessary to say, the first step in any successful barcode printer installation is unpacking and taking inventory of the printer and accessories.  When preparing for your barcode printer installation, here are four important checks: 

  • Be sure the printer delivered is the printer ordered.
  • Check inventory to make sure all necessary cords have been included.
  • Locate the software.  
  • Double check to make sure any and all accessories have been included.

Environment Check

A clean, user-friendly environment / location is important.  Creating this environment is your second installation step. 

A clean environment (free of dust and clutter-free) is critical to the overall lifespan of your barcode printer and your media.  Having adequate computer/printer work space with easy access to all materials will save productivity time and prevent frustration.  Consider the following three factors when creating your work environment.

  • Sufficient maneuverability for the printer operator.
  • Ample “breathing room” for your printer.
  • Easy access to additional ribbons and labels.  

Initial Setup

The third barcode printer installation tip is prepping for the initial setup of your new barcode printer.

  • Power up the barcode printer.
  • Connect the printer to your computer.  Make sure the printer and computer are communicating.
  • Next, follow the material-loading guidelines found on the inside back wall of the barcode printer
  • Install label material and/or ribbon following the factory guidelines inside along the inside wall of the barcode printer.
  • Follow the tips in the next section, Learning the Printer’s Main Menu to prepare the printer for calibration and printing.
  • Finally, print a test label for image quality and position.

The final barcode printer installation tip is learning to use your main menu panel to adjust the printer settings.

Printers are shipped with factory settings. However, the label material tested is paper.  If you are printing on a synthetic material such as polypropylene, you may need to adjust the printer settings.

  • Check Printer Speed and Printhead Heat settings.  These two settings are the most critical settings within the menu panel.  These settings control the “burn” that will give your labels a clear and crisp image.
  • Next, calibrate print media (see above picture).  Calibrating the print media will align the image on the label.  It will also adjust to the media thickness.  Improper calibration will result in wasted media.

Barcode Printer Problems With Easy Solutions

Problem One: Imaging

Imaging problems can be traced to:

  • Label Loading
  • Loading Ribbons

Label Loading

Barcode printer problems with easy solutions begin with the loading of label material.

It may appear easy to load the label material.  However, there are five simple tips to keep in mind when problems arise.

The first tip is to follow the label feeding guide as shown on the back inside printer panel.  In the absence of above guide, the inside panel of your printer will have arrows to indicate the feeding path.  

A second tip is to make sure you feed the labels through and not over the green sensor.  The labels should then lie over the platen roller.

Third, the printhead must be in locked position.

Fourth, be sure to press the “Feed” button to advance to the next label and you are ready for the print job.

Finally, you can locate “How To” installation videos on the manufacturer’s website.  Barcode Southwest has found these videos to be the best resource for those times when you are having barcode printer problems.

Loading Ribbons

The second of our barcode printer problems with easy solutions is ribbon loading.

In the event you are using ribbons, the first step is to ensure you have the correct pairing of ribbon and label material.  Barcode Southwest can help with this pairing to avoid having barcode printer label problems.

  • Some ribbons are “coated in” while others are “coated out.”  Improper loading can result in no image on the label material.  A quick pre-loading tip is to use a piece of tape to check “coating.”
  • If the ribbon unwinds, but does not feed through the guide to the rewind spindle, the ribbon has not been properly loaded.

Your second tip is make sure the printhead heat setting is where it needs to be to insure a quality image. 

  • If the heat setting is too low, the image will be light. 
  • Conversely, if the heat setting is too high, the ribbon may burn through the ribbon.
    • A burned ribbon may cause damage to the printhead.
    • Clogged pixels in the printhead will cause a “void” in the imaging.

As with loading label material, “How To” videos are also available on the printer manufacturer’s website.  

Problem Two: Feeding Errors

If you are having “Feed Errors” or the imaging is skipping labels, an easy tip is to calibrate the labels.

The purpose of calibrating your media is two-fold. 

  • First, calibration measures label thickness to improve imaging. 
  • Secondly, the printer must sense either the “gap” or the black mark that indicates the break between each label.  The “gap” is a timing mark that tells the printer when to start and stop printing each label.

Calibrating your labels is a “quick fix” tip. 

  • Search the Menu on front of printer and select the “calibrate label” function.  The printer manufacturer “Menu” selection may vary.  The printer will feed several labels searching for the “timing” mark. This should help stop most “Feed Errors.”

 Again, “How To” videos are also available on the printer manufacturer’s website. 

Problem Three: Computer/Printer Communication

After the labels and ribbons are properly loaded and the printer has been calibrated, there are two more common problems with easy tips to solve these problems.

Tip Number One: Printer Selection

The printer has been loaded, the number of labels to print has been identified and nothing happens.

  •   IF you have more than one barcode printer, have you selected the correct printer?
  •   Check the print queue for a backlog of print jobs.
    • Clear the print queue.
Tip Number Two: Detached USB or Ethernet Cable

A detached USB or Ethernet cable will lead to a loss of communication between the barcode printer and the computer.  

  • A quick inspection of the cable connections will solve this problem.
  • When downloading drivers, make sure you select the correct USB port.

Learn the Media Guides

The first step in calibrating the Printronix T6000 barcode printer is to spend time learning the printer’s inner workings.  Use the media guides shown on the interior back wall of the printer.

After you have loaded the label material and the ribbon (ribbon for thermal transfer printing), it’s time to calibrate the printer. 🙂

The next step is learning the 3.5″ display panel.  First, press the green button to take the printer “Offline.”  The panel and series of buttons walk you through calibrating the barcode printer.  After the printer is calibrated, press the green button to put it back “Online.”

The printer must be calibrated whenever new media (labels and tag ) is installed.

To clarify,  if the last print job required a 4 x 6 label and you are loading a new roll of the same label size, the printer will automatically recognize that size.

WHEN a new label size is required, the printer must be calibrated so the sensor can recognize the new label size.  A non calibrated barcode printer will result in Error messages.

Keep the Printhead Clean

Poor barcode imaging can generally be traced to a dirty printhead on your thermal printer.  The print head is a very sensitive component of your barcode printer.  It is also the most expensive consumable component of any barcode label printer.

The function of the printhead is to transfer information from your label design to the actual label material.  The “lightbulbs” on the printhead must be kept clear of environmental dust and debris from the ribbon.

There are two reasons why you are experiencing poor imaging in thermal printers.  Let’s start with the two easiest solutions for poor imaging in thermal printers.

Issue # 1: Faint or Missing Image

Poor barcode imaging in thermal printers can result faint, smudged, or missing images. Typically, these issues are the due to a dirty printhead.

There is constant contact between the print ribbon and media. As a result, the printhead collects dust, ribbon particles and label adhesive.

Solution: Clean the Printhead

Poor Barcode Imaging: Clean With 99% Isopropyl Alcohol-Barcode Southwest

Use 99% Isopropyl Alcohol or acetone and a cloth to clean the dirty printhead.  Proper maintenance will help prevent faint or missing images.

Getting the best imaging from your thermal printer requires a regular cleaning.  Barcode Southwest recommends a weekly cleaning.

Issue # 2: Printer Speed

A second poor imaging solution involves correct printer speed. Printer speed, a clean printhead, and compatible ribbon /label formulation relate directly to imaging quality.

Solution: Find the Best Printer Speed 

Printer manufacturers (available within specifications) show the maximum speed of each printer.  You must determine the correct speed for your specific label printing application.

Keep in mind, the correct print head heat or density setting along with printer speed will result in the highest quality barcode printer imaging.  The lowest print head heat setting will usually give you the longest life span of the print head.
